Terms & Conditions
The vacation rental properties we represent are typically second homes owned by individuals who also use them as vacation homes. These homeowners have made them available to share with responsible groups that will treat the home and neighborhood with respect. While many of our guests are on vacation, the full-time residents that live nearby are not. In order to maintain the top quality of our homes and the peace and quiet of our neighborhoods, all occupants must adhere to the following terms and conditions. Thank you in advance for your understanding. 


To make your trip more enjoyable, please carefully read your vacation rental agreement carefully before you begin your vacation. Any monies received by Resort Properties of Angel Fire for occupancy of vacation property indicated the acceptance of the terms of our vacation rental agreement in full. All policies are strictly enforced. It is the responsibility of all guests and members of their party to be familiar with all policies pertaining to the rental. RENTAL INFORMATION: Please verify all aspects of your reservation are correct. This includes the size and location of the unit; the dates in which you are staying and who is staying in the unit. Resort Properties of Angel Fire (RPAF) sends out several correspondences to confirm and re-confirm information. You have a duty to verify this information. Failure to verify this information within seven (7) days may result in the cancellation of your stay without refund. Neither RPAF nor the person(s) owning the rental unit or property of which such unit is a part ("owner") will be responsible for any ancillary costs associated with any such cancellation or inconveniences.

ARRIVAL INFORMATION: Please check-in at our office located inside the Wheeler Peak Lodge, 30 S Angel Fire Road. Our office hours are typically Monday through Friday, 8:30 am - 5:00 pm and Saturday, 9:00 am - 4:00 pm. Office hours may change without notice, so please call to verify before your arrival: (575) 377-6441.

AFTER-HOURS ARRIVAL: If arriving after-hours, we will provide you with a PIN code to access your keys. A follow-up email will be sent within 48 hours of check-in.  


ACCIDENTAL DAMAGE INSURANCE: If your reservation is 29 (twenty-nine) nights or less, your reservation includes accidental damage insurance should you have an accident in the home. For your convenience, we have included the insurance premium of $28.50 to $68.50 (depending on the property size) in your total rental amount. The SafelyStay, Inc. Trust and Safety Fee includes up to $10,000 of coverage for contents damage and up to $100,000 OR $1,000,000 coverage for property damage and bodily injury, depending on the property. Complete terms regarding the Trust and Safety coverage can be found at www.safely.ai/resortpropertiesofangelfire. The Trust and Safety Fee is refundable only if the reservation is canceled in writing at least twenty-four (24) hours prior to the arrival date. Any deductible or minimum claim amount will be the responsibility of the Guest, and Resort Properties of Angel Fire will process using the form of payment on file for Guest. 

In order for my reservation to be covered by SafelyStay, Inc., I give permission to SafelyStay, Inc to verify my identity, and check criminal databases in order to confirm my reservation. If a reservation stay is thirty (30) nights or greater you and the rental property are not covered by the SafelyStay, Inc coverage listed above. Guest will be responsible for a security deposit. The deposit is for security purposes and will be refunded within seven (7) days of the check-out date, provided no deductions are made due to: damage caused to the property or furnishings, excessive cleaning, or any other costs incurred by homeowner due to guest’s stay. CHECK-IN/OUT TIME: Check-in is at 4 pm and check-out is at 10 am. High volume turnover days during peak season may cause check-in times to be delayed.

UPON ARRIVAL: Take a look around the property. If there are concerns or issues with your rental property, please immediately contact our office (leave a message if there is no answer). No refunds or considerations are given unless we are notified of problems during your stay. It is your responsibility to inform RPAF of any broken or damaged items at the beginning of your stay.

UPON DEPARTURE: RPAF respectfully asks all guests 1) load and start the dishwasher. 2) take out the trash, and 3) return the number of keys provided to our office. Please follow these instructions closely to avoid additional charges.

EARLY CHECK-IN/LATE CHECK-OUT: If you would like to request an early check-in or late check-out, you must call the RPAF main office no more than 48 hours in advance. Early check-in and late check-out times are available if another guest is NOT checking in or out on the same day. This service may be available for an additional fee.

GENERAL INFORMATION: Each property is fully furnished, including linens, towels, blankets, pillows, basic pots and pans (if you are planning on making a special recipe that requires a particular sized dish, please bring it with you), and small appliances. We also furnish a starter pack of supplies; including paper towels, toilet tissue, facial tissue, dishwashing liquid, dishwasher soap, and trash bags. If you need more supplies during your stay, you may purchase them either at the local grocery store or at the check-in office. If your unit comes equipped with a washer/dryer, you will need to supply your own detergent, as we do not provide it due to allergy concerns. Each unit is stocked with towels according to the number of people the unit can sleep. Should you know in advance that you will need more supplies, extra pillows or blankets, you may want to bring these items from home.

RPAF reserves the right to move Guests to a like property if the property reserved is unavailable for any reason.

Each reservation processed is subject to a $40 plus tax booking fee which is added to the total cost of the reservation and is non-refundable. All stays will be charged a cleaning fee of $80 to $300 plus tax, depending on the size of the unit reserved. This cleaning fee will provide normal cleaning services after your departure. Excessive cleanings will incur additional charges. Mid-stay cleans are optional services with an additional fee and must be scheduled at least 24 hours in advance (during high season, these services may not be available).

EMERGENCIES/MAINTENANCE: In the event of a problem getting in the property or if there are problems with condition or functionality of the property, please immediately contact the RPAF office (leave a voice message and send a text message if there is no answer!) at (575) 377-6441. If it is after office hours we will make every effort to return your call as soon as possible. If we do not promptly return your call and it is an urgent situation, you may call our after-hours emergency line at (888) 357-3497.

If a problem arises in the property during your stay, maintenance services are available 24 hours a day/7 days a week/365 days a year. During regular business hours, maintenance calls will be addressed in the order they are received. After-hours calls may be delayed slightly. If an after-hours maintenance call is not an emergency, we may postpone the repair until the following day. For the purposes of this agreement, an emergency is defined as an issue that makes the property unsafe for human life or may cause imminent damage to the property. No internet or TV is not considered an after hour's emergency and will be addressed the next day. In the event it is found a required maintenance item or repair is a result of abuse, misuse, negligence, or otherwise caused by the guest, the guest will be responsible for all costs to affect the repair.

RPAF reserves the right to enter the property in order to perform maintenance and inspections. Though we make every effort to schedule maintenance during unoccupied times, there are instances in which maintenance must be performed while the property is occupied. During emergency situations, both the building manager and RPAF may enter the property. Examples of emergency situations include water leaks, smoke, and carbon monoxide detector activation, and exterior doors and windows that are observed to be left open during poor weather conditions.

MOUNTAIN CONDITIONS: The property you are renting is in high altitude conditions. Special care MUST be taken to ensure the security of the home. During the winter, temperatures can fall below -30°F, with winds of 45+ miles per hour. Leaving any door or window open will cause pipes to freeze, resulting in the property and the entire building to flood. Please maintain the integrity of the temperature of the property during your stay and upon departure. During the summer, there's a large possibility of light to very heavy rain showers almost daily, often accompanied by high winds. Accordingly, please do not leave windows or doors open while away from the property. We reserve the right to terminate your stay with no refund to you if you do not follow these guidelines.

RPAF highly recommends using a vehicle with 4WD, AWD or 2WD with chains/straps. Extreme weather conditions can result in difficult driving conditions. RPAF is not responsible for any inconveniences or fees if a Guest's car is stranded or damaged due to road conditions.


PET POLICY: Most of our properties do not allow pets. Please do not attempt to bring pets unless pre-arrangements have been made with RPAF. Any guest found with an unauthorized pet will be charged a non-refundable fee of $500 plus tax. If you are planning on traveling with your pet, please notify RPAF before arriving to verify whether or not your unit is pet-friendly. There is a $200 fee plus tax required if your unit is pet-friendly (2 pet maximum). If your unit is not pet-friendly, RPAF will be happy to refer you to a local boarding facility.

CANCELLATION AND PAYMENT POLICIES: Reservations with stays twenty-nine (29) days or less, a deposit of fifty-percent (50%) of the reservation total is due at the time of booking. The remaining balance is due sixty (60) days prior to your arrival date. Deposits are fully refunded if canceled up to sixty (60) days before your arrival date. Cancellations made within less than sixty (60) days’ notice will result in 100% loss of all payment. This loss can be avoided if Travel Insurance is purchased in advance and the reason for cancellation is covered under the travel insurance policy. All reservation changes must be acknowledged in writing.

Reservations with stays thirty (30) days or more will require a deposit of fifty-percent (50%) non-refundable/non-transferable and is due at the time of booking. The remaining balance is due sixty (60) days prior to your arrival date, at which time the entire reservation is non-refundable/non-transferable. This loss can be avoided if Travel Insurance is purchased in advance and the reason for cancellation is covered under the travel insurance policy. All reservation changes must be acknowledged in writing.

Refunds and credits will only be granted for situations that are within the direct control of Resort Properties of Angel Fire. The maximum amount of any refund or credit will be the prorated value of any lost occupancy you incur.

POWER/WEATHER RELATED CANCELLATION: RPAF is not responsible for cancellations, delays or inconveniences; including but not limited to adverse weather conditions, flight cancellation, road closures, problems with technology, personal emergencies, maintenance problems in the property, water leaks, temperature control, personal preferences for bedding firmness, electrical outages, acts of God, or any circumstance outside of its direct control. TRAVEL INSURANCE IS HIGHLY RECOMMENDED TO PROTECT YOUR FINANCIAL INTERESTS.


TRAVEL INSURANCE: Travel Insurance is available for a nominal fee and is highly recommended. Resort Properties of Angel Fire has partnered Generali Global Assistance, an industry leader in travel insurance.  Vacation Rental Insurance provides coverage for prepaid, non-refundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses. We strongly recommend you purchase this valuable protection.

  • Guest agrees to start the dishwasher/wash dishes before departing the home.
  • Guest understands if cleaning beyond what housekeeping would normally do excessive cleaning fees will be applied.
  • Guest accepts responsibility for all occupants and accepts liability for any missing items or damages caused to the property.
  • Guest agrees to secure the property by closing and locking all doors and windows before departing.
  • Guest agrees not to bring pets unless approved by RPAF.
  • Guest agrees during the winter months NOT to turn off the heat before departing.
  • Guest understands that 4WD, AWD or 2WD with chains/straps is highly recommended for visiting our area during any time of the year.
